MINUTES OF THE S.A.H.P.A. INC. MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A. HEADQUARTERS ON
 SUNDAY 23RD NOVEMBER – 2.00 PM.

1. Chairperson opened Meeting at  2.05 pm Attendance:  Mr. D. Thalbourne (Chairperson) Mr. R. Chapman (Vice-Chairperson) Mr. J. Cock, Mr. P. Couzner, Mr. K. Pridham, Mr. W. Moyle, Mr. R. Fewings, Mr. R. Seedsman (General Secretary) Mrs. C. Myers (Assistant Secretary).

5. Treasurer’s Monthly Report:

The Treasurer presented the Profit & Loss Statement for the period
December 2002 through to October 2003.

The Main Factors included in this Report are as Follows:

1) The S.A.H.P.A. is operating at a Profit for the 2003 Season.
2) The Sale of all Shares has now been finalized with all proceeds transferred to the Adelaide Bank Account.
3) The Asset Replacement Fund ($10.00 per Member) will be utilized to enclose the Carport on the Northern Side of Headquarters for the parking of the Secondary Transport Unit.

1. Letter from Adelaide Animal Expo – Confirmation of the
S.A.H.P.A. Incs participation at the 2004 Event.  Action:  Secretary to forward to Mr. D. Thalbourne (Expo Co-Ordinator)
2. Letter from Eastern Equity Insurance – Advising of Change
Of Address and Contact information.  Action:  Secretary to note changes.

3. Letter from Flotek Engineering & Hydraulic Services –
Enclosing a copy of Flotek’s extended Insurance Policy to include Staff Car Park situated at 10 Baulderstone Road.
 

4. Letter from Royal Adelaide Hospital (Glenside Campus) –
Enclosing a Certificate of Appreciation for the S.A.H.P.A’s contribution to World Mental Health Day.

5. Letter from Auburn Homing Pigeon Club – Requesting a
Trophy Donation for 2004 Season.  Action:  Trophy Donation has been approved.

6. Letter from the Royal Agriculture & Horticulture Society –
Expressing their appreciation for the S.AH.P.A. Incs sponsorship support of the 2003 Royal Adelaide Show.

7. Facsimile from Mr. D. Thalbourne – Re – Complaint to
Radio Station (Coast FM) relating to an incident on the 12th October 2003 (Fire-off for Temora/Morundah Events.  Action:
Secretary to file.

8. Maintenance Inspection Record from Chubb Security –
S.A.H.P.A Inc. Headquarters Alarm System.  Action:  Secretary to file.
 
9. E-mail from Racing Analytical Services – Attaching Drug
Test Results for Bird Urine Samples.  Action:  Secretary has forwarded copy of Results to Members involved.

10. Facsimile from Adelaide Hills Racing Pigeon Club – Re:
Special Races - 2004 Race Program.  Action:  With the Interest being shown for these Events by some Clubs, the Management Committee have decided to –

a) Program two (2) three (3) Bird Special Races, to be flown in conjunction with the Farina and Hay Opens on the 2004 Race Program.
b) These Events will be open to Young & Old Birds.
c) The Nomination Fee will be $3.00 per Bird.
d) The (3) Bird Special Birds will be release approximately 1 Hour after the Main Race.
e) The Management Committee will gauge the Overall Support of these Events by Members, to establish a basis for their continuation when drafting Future Programs.

11. Letter from Mr. B. Goold – Expressing his disappointment
With the 2004 Race Program.  Action:  Mr Goold’s letter created some vigorous debate between the Management Committee and while the Management Committee have taken Mr. Goold’s views on board and will be monitoring certain aspects of the 2004 Race Program, they have decided that the 2004 Race Program will remain as scheduled, with the exception of two (2) Three (3) Bird Special Races.

12. Letter from Mr. A. Harris – Enclosing Invoice in regards to
The purchase of his F350 Ford Tray Top Pigeon Unit, Lenco Trailer Pigeon Unit and Business Goodwill by the S.A.H.P.A.
Inc.  Action:  Secretary to arrange Purchase and Delivery of Unit.

1. Letter to Mr. N. Molchanoff – Enclosing a cheque to the
Value of $300.00 – Vin Blanden Memorial Race Prize Money from Coober Pedy.

2. Letter to Mr. G. Hamilton – Advising that his S.AH.P.A. Inc
Website Advertising Subscription was due.

3. Letter to Hampton Haulage – Enclosing payment Cheque of
Freight Charges for Coober Pedy, Temora & Morundah, also Thanking Mr. Doug Hampton on behalf of the S.A.H.P.A. Inc for his Care & Understanding in the Transportation of Member’s Birds throughout the 2003 Season.

4. Letter to Mr. A. Agar – Enclosing a reimbursement Cheque to
Northern Group for the return of 440 Rings.

5. Letter to Mr. J. Hofman – Regarding his Correspondence re
The possible acquisition of Mr. A. Harris’s Truck/Trailer Pigeon Unit.

6. Letter of Thanks to Mr. J. Hofman – On Behalf of the
Management Committee & Members of the S.A.H.P.A. Inc., in his role as S.A.H.P.A. Inc. Release Officer for the 2003 Season.

7. Letter to Mr. J.P. Wilson – In Response to his
Correspondence regarding the Electronic Timing System.

8. Letter to Para Inv. Homing Club – In Response to
Correspondence regarding three (3) Issues relating to the 2004 Program.

9. Letter to Flotek Pty. Ltd. – Stipulating the Management
Committees’ approval in principle to the Conditions as per their Correspondence Dated 15th October 2003.

10. Letter to Barossa Valley Club – In response to three (3)
Issues regarding the 2004 Program.

Of their Employees’ Cars on S.AH.P.A. Inc. Premises.

8. GENERAL BUSINESS:

1. Management Committee Position

Applications are now called for the Position on the Management Committee to Represent the Northern Electorate – Vacated by Mr. P. Couzner, who has served his three (3) years of Service on the Management Committee.  (Mr. P. Couzner is eligible to stand again.)

Nominations for Election to the Committee of Management shall be in Writing and Signed by the Nominee and Two (2) Other Members of the said Electorate.

2. Club Constitutions:

Club Secretaries are reminded that any changes to Club Constitutions that are made between Now and the Start of the 2004 Season must be advised to the General Secretary in writing.

3. Notice of Motion Changes for 2004

Clubs are reminded of the Following:

Clubs wishing to make any Submissions for rule and/or By-Law changes, must do so by Close of Mail on 31st December 2003.

Clubs are only Eligible, not Groups.

To Lodge Notices of Motions, and any Such Notice, must be accompanied by evidence of the Club Meeting held, Date, Time Number of Members attending, must accompany the Advice of the Notice.

No Notice will be accepted after 31st December, 2003.

The S.A.H.P.A. Management Committee, are currently working on their submissions for Rule and/or By-Law Changes for the 2004 Annual General Meeting.

4. Final Distribution of Certificates:

The General Secretary has forwarded all outstanding Top 30 Association Race Certificates to the Secretaries of the Respective Clubs.

5. The Chairperson & Vice-Chairperson Vacancies

The General Secretary is now calling for Applications from Interested Persons for the Positions of Association Chairperson and Vice-Chairperson.  These Positions will be voted on by the S.A.H.P.A. Membership.

Applications close on Wednesday 31st December 2003 – All Applicants must be Financial Members of the S.A.H.P.A. Inc.

6. S.A.H.P.A. Office Bearer Positions

In Accordance with S.A.H.P.A. Rules – Nominations are now Called for the Following Positions:

General Secretary, Assistant Secretary, Treasurer & Ring Secretary.

Nominations must be in the Hands of the General Secretary by Friday16th January 2004 – All Applicants must be Financial Members of the S.A.H.P.A. Inc.

A List of General Secretary’s Duties is available by phoning 8258 2516.

All other Duties and Honorariums will be discussed with the Management Committee and Treasurer at a Later Date.

8. Presentation Night:

The Management Committee would like to express their Gratitude and thanks to Mrs. C. Myers for Organizing the 2003 Presentation Night.

9. Telephone Subsidy to Groups:

The Management Committee have moved to reimburse Group Centres only, a Telephone Subsidy of $85.00 for the 2003 Season.

  10. Year Book:
 
   Information Photos etc, are in the process of being collated for
   The 2003 S.A.H.P.A. Year Book.

   It is anticipated that the S.A.H.P.A. Year Book will be
   Forwarded to Members no later than 31st January 2004.
