MEETING OF THE S.A.H.P.A. INC. MANAGEMENT COMMITTEE
MEETING HELD AT THE S.A.H.P.A. HEADQUARTERS ON
SUNDAY 9TH MARCH. 2003 – 1.00 PM

1. Chairperson opened meeting at  1.10 p.m. Attendance:  Mr. D. Thalbourne (Chairperson), Mr. J. Cock, Mr. R. Fewings, Mr. K. Pridham, Mr. P. Couzner, Mr. W. Moyle, Mr. R. Seedsman (General Secretary), Mrs. C. Myers (Assistant Secretary).

3. Guests:  Mrs. R. Kearns & Mr. K. Roberts.  (Interview for Ring Secretary Position)

Mrs. R. Kearns & Mr. K. Roberts were invited to the Management Committee Meeting to discuss the Position of S.A.H.P.A. Inc. Ring Secretary.

Informal discussions took place to ensure that the two Applicants were quite familiar with the requirements that are necessary to carry out the tasks in regards to this important position within the S.A.H.P.A.

Mrs. R. Kearns & Mr. K. Roberts were thanked for attending the Meeting.

The Management Committee were satisfied with the two Applicants, both worthy candidates for the Position.

After some consideration, the Management Committee selected Mrs. R. Kearns for the S.A.H.P.A. Inc. Ring Secretary Position.

6. Treasurer’s Report:

The Treasurer (Mr. M. Pethick) faxed his report stipulating that he will finalize the
Books & Accounts until the end of March, at which time it is his desire to hand the Books over.

As from the 1st April 2003, could all Financial Correspondence be forwarded to the General Secretary.

As there are no Applications for the S.A.H.P.A. Treasurer at this time, the General Secretary will ensure all Accounts are Paid, all Monies are received and Banked.  Stock-take to be undertaken, postings to the General Ledger etc. will take place.

6. From Salisbury Club – Advising of Office Bearers for 2003 Season.
 Chairperson – R. Abraham, Secretary – R.C. Dixon, Treasurer – R. McIlduff.
 Action:  Secretary to note.

 Salisbury Club requesting that the S.A.H.P.A. employ people to load Birds on
 The Main Race Unit on Hamper Nights.  Their request is taken with the view
 That the majority of S.A.H.P.A. Members are over the age limit to be loading
 Birds onto the Unit.  Action:  The Management Committee are of the Opinion,
 That the Club’s are responsible for the people they send to Headquarters for
 The loading of the Birds onto the Unit.  If needed the Club’s could pay certain
 Members a fee for performing this task.

7. From the Payneham Pigeon Club – Requesting approval for their Club Sires
 Produce to be raced in conjunction with the Booroorban S.A.D.  Action:  The
 Management Committee have approved the Payneham Pigeon Club’s request
 To conduct their Club’s Sire Produce Race in Conjunction with the
 Booroorban S.A.D.
 

8. From the Hampstead Inv. Homing Pigeon Club – Advising of Office
 Bearers for the 2003 Season.  Chairperson – L. Duits, Secretary/Treasurer –
 S. Randall.  Action:  Secretary to note.

9. From the Adelaide Hills Racing Pigeon Club – Advising of Office Bearers for the 2003 Season.  Chairperson – R. Linkevics, Secretary – R. Pearson, Treasurer – D. Stasinowski, also advising of two (2) changes that has been made to their Club’s Constitution.  Action:  Secretary to note & file Constitution changes.

10. Letter from Mr. R. Sewer – Applying for the Position of Unit Cleaner for the 2003 Season.  Action:  Secretary to file for when Applications are considered.

11. Letter from the Pooraka Inv. Racing Pigeon Club – Thanking the S.A.H.P.A. for the Loan of $1000.00 to complete their Clubrooms.
The Pooraka Pigeon Club request that the S.A.H.P.A. revert to the System of Members producing their Clocked Birds on Clock Reading Night.  Action:  The Management Committee feel that this should be tabled at the 2004 A.G.M.
For S.A.H.P.A. Inc. Member’s consideration.

12. E-mail from Mr. B. Freeman – Applying for the Position of Loading Steward
for the 2003 Season.  Action:  Secretary to file for when Applications are considered.

 13. E-mail from Mr. P. Beaumont – Advising of Office Bearers for the Southern
  Districts Inv. Racing Pigeon Club Inc. for the 2003 Season.  Chairperson – Mr.
  B. Dawson, Secretary – Mr. P. Beaumont.  Action:  Secretary to note.

 15. Letter from Mrs. B. Caesarowicz – Enclosing a template of Thank-you letter
  to be forwarded to all Advertisers, Subscribers and Contributors to the
  S.A.H.P.A. Inc. Journal, also requesting some compensation for the use of her
  Computer equipment.  Action:  The Management Committee are quite
  Appreciative of Mrs. B. Caesarowicz utilizing her computer equipment, and
  Request that Mrs. Caesarowicz forward a monetary value, as to compensation
  For the Committee’s consideration.

16.      Life FM  - Christmas Party for Special Children – Sponsorship for 1 Child
($225.00)  Action:  The Management Committee have decided against
Sponsoring a Child for the Life FM Christmas Party this year.

 17. From Eastern Equity Insurance Brokers  - Re Officers’ Liability Indemnity
  Insurance.  Action:  Secretary to contact another Insurance Company in
  Regards to a Second Quote for Officers’ Liability Indemnity Insurance.

10. S.A.H.P.A. HEADQUARTERS CLEANING CONTRACT:

 Applications are now being called for the Contract Position of Headquarters Cleaning.

 The Baulderstone Road Complex is to be Cleaned (Toilets, Office, Hall Interior, and
 Canteen Ares) Once a Fortnight (Minimum) in the Race Season & Once a Month in
 The Off-Season.

 Applicants will be required to List Price/Quote for the conduct of such Contract.

 Applications closed 5 p.m. Wednesday 23rd April 2003.  Please forward applications

11. GENERAL BUSINESS:
 
1. S.A.H.P.A. SUB – COMMITTEES:

All Sub-Committees are now required to submit their intentions for the 2003 Season.

Any Sub-Committee that intends operating this year, must submit a list of Names of the Committee Members for the Management Committee’s Approval.

Could Sub-Committee Secretaries please forward their list of Committee Members to the General Secretary.
 
 
 
 

2. A.P.F.A. SUBSCRIPTIONS – 2003:

Club Secretaries are requested to ask Members of their Club if they intend to join the A.P.F.A. in the 2003 Season.  Please forward list of Members plus
$4.40 fee to the General Secretary.

3. FREIGHT TENDER – 2003:
Freight Tenders are now invited for all Races for 2003 Season.
Tender Submissions are to be enclosed in a Sealed Envelope marked “Tender for S.A.H.P.A. Transportation” and to be forwarded to –

4. BACK-UP UNIT – 2003:

5. BIRD QUALIFICATION – 2003 SEASON:

All Old & Young Birds are required to fly at least one (1) Club Race to be eligible to fly Middle Distance and Long Distance Races respectively.

With respect to Young Bird Derbies:

A Young Bird may fly both Derbies so long as it has flown one (1) Club Race on each Line of Flight for the Relevant Derby.

6. TENDERS FOR PIGEON FEED & STRAW MEDIUM:

Tenders are invited for the Supply of Pigeon Feed and Straw Medium for the Main Unit for the 2003 Season.  Action:  Secretary to contact suitable Suppliers to invite Tenders.

7. S.A.H.P.A. WORKING BEE:

All Club Secretaries are asked to advise all Club Members of the Forth-coming Working Bee – This Year’s Working Bee to be held on Sunday 6th April – 9.00 am – 12 noon.

Please make an effort to help the Association Get-up and Running this year.

It needs more than one (1) or two (2) People to help get things Ready!!!!!!

Can you please come prepared with tools, shovels & brooms etc.
 

8. SPECIAL RACES:

The Management Committee have decided that a Three (3) Bird Special (Old Birds Only) Race will be flown in conjunction with the Farina Y.B.C. & Booroorban S.A.D.

The Cost per Bird will be $5.00 with an anticipated Release of one (1) hour after the Derby Birds have been released.

These Two (2) Special Races, will incur Prize Money, Points & Certificates.
