MINUTES OF THE S.A.H.P.A Inc. MANAGEMENT COMMITTEE MEETING HELD AT THE S.A.H.P.A. Inc. HEADQUARTERS ON MONDAY 22ND MAY 2006 1. VICE-CHAIRPERSON OPENED MEETING AT: 7.35pm Attendance: Mr. G. Cawte (Vice-Chairperson) Mr. P. Couzner, Mr. F. DiMella, Mr. J. Marafiote, Mr. W. Moyle, Mr. K. Pridham, Mr. R. Seedsman (General Secretary). 2. APOLOGIES: Mr. D. Thalbourne (Chairperson), Mrs. C. Myers (Assistant Secretary). 3. MINUTES OF PREVIOUS MEETING: Moved/Seconded/Carried 4. BUSINESS ARISING FROM PREVIOUS MEETING: Mr. K. Pridham questioned the Correspondence issue between the Vitesse Invitation Racing Pigeon Club and Messrs. Gaertner & Shaw in regards to their Membership Application. The General Secretary advised the Meeting, that letters to Clubs regarding Special Races should have been included in Correspondence Out for the Meeting held on 18th April 2006 – refer Correspondence out – Item 1. 5. TREASURER’S MONTHLY REPORT: The Treasurer presented his Report for the period 1st December 2005 through to the 30th April 2006. The Report indicates a Profit has been recorded for this period, although impacted on by the cost of Overseas Stock Received in April. The Report indicates that the Association is in a slightly better position in comparison to the same period last year. 6. CORRESPONDENCE IN: 1. Eastern Equity Insurance Brokers – Confirmation of Policy Schedule – Directors & Officers Liability Insurance. Action: Secretary to file. 2. Letters from Mr. D. Russell – Ø Advising of his situation in regards to his Application to become a Member of the Para Invitation Homing Club. Ø Seeking Approval to reform the Gawler River Invitation Racing Pigeon Club. Ø Copy of his original letter and his current situation. Action: The Management Committee advise Mr. Russell to re-form the Gawler River Club, and seek approval from the Smithfield Club to Hamper and process his Clock at their Clubrooms. 3. Email from Smithfield Invitation Racing Pigeon Club – Seeking Direction from the S.A.H.P.A. Inc. Management Committee as to the Requirements associated with the Gawler River Invitation Racing Pigeon Club using their facilities to hamper & process clocks. Action: The Management Committee have no objection to the process outlined by the Smithfield Club in regards to Member/s of the Gawler River Club using their facilities etc. 4. Letter from the Royal Flying Doctor Service – Acknowledging The donation of $150.00 from the S.A.H.P.A. Inc. 5. Letter from the Parkholme Racing Pigeon Club – Enclosing a Revised copy of their Rules & Regulations. Action: The Secretary to file for future reference. 6. Letter from the North East Inv. Racing Pigeon Club – Advising of Office Bearers for the 2006 Season. 7. Email from the Adelaide Hills Racing Pigeon Club – Requesting the Management Committee reconsider their decision in regards to Special Races for the 2006 Season. Action: The Management Committee stand by their original decision not to include Special Races on the 2006 Program – refer Correspondence In – Item 3 – Management Committee Meeting 18th April 2006. The prospect of flying Special Races in 2007 can be included on the Agenda for the meeting with Electorate Management Committee representatives that will be scheduled near the completion of the 2006 Race Season. 8. Letter from the Victor Harbor Homing Pigeon Club – Requesting a Trophy Donation for the 2006 Season. Action: Trophy Donation has been approved. 9. Letter from Panache Solutions – Re: The 2006 Directory, requesting Any alterations that may be required for Club contact details to be forwarded by the 30th May. Action: Secretary to forward revised contact details. 10. Email from the Promotions Committee – Minutes of Meeting held On the 1st May 2006. Points of Interest Ø Mr. D. Thalbourne to submit quotes from suppliers of Caps & T. Shirts for the Management Committees’ approval. Ø Mr. G. Verrall to contact Channel 31 Community T.V. in regards to a Pigeon Segment. Ø Articles promoting the Sport to be included in the Australian Pigeon Fanciers Gazette. Ø Approval from the Management Committee for a proposed 5 Bird Ace Series Competition for the 2006 Race Program. Action: The Approval for a 5 Bird Ace Series to be held over until the next Management Committee Meeting. 11. Letter from Central Districts Club – Requesting another Survey of all Clubs be held regarding Special Races. Action: The Management Committee stand by their original decision – therefore no survey will be carried out. 12. Quote received from Abbotts Printers – For the printing of the 2005 S.A.H.P.A. Inc Year Book. Action: Further quotes will be investigated. 13. Letter from Payneham Club – Advising that the Partnership of A. Gaertner & D.T. Shaw have been accepted as a Member for the 2006 Season. 7. CORRESPONDENCE OUT: 1. Letter to all Associated Clubs – Requesting their response to the Flying of Special Races in the 2006 Season. 2. Letter to the Royal Flying Doctor Service – Enclosing a donation to The value of $150.00 raised from the B.B.Q. held at the S.A.H.P.A on the Discussion Evening with Dr. C. Walker. 3. Letter to Various Clubs – Advising of the Management Committees’ decision in regards to Special Races. Moved/Carried – Correspondence In & Out – Confirmed. 8. GENERAL BUSINESS: 1. GROUP MAKE-UP FOR 2006 SEASON: All Club Secretaries are required to advise the General Secretary by Friday 16th June 2006 of the Group in which they will be flying Association Races for the 2006 Season. This information is required so that the Management Committee can issue a list of Hampering Centres and Clock Reading Centres. 2. COLLECTION OF STATISTICS FOR 2006 SEASON – Racing Pigeon Returns: After some discussion the Management Committee are of the opinion that Statistics as to the Return of Birds from S.A.H.P.A. Inc. Races will apply for the 2006 Season. These Statistics will be recorded for the purpose of demonstrating to any outside interests that as a Controlling Body we are seen to be responsible for the Welfare of our Birds. Under no Circumstances will these Statistics be made available to an Outside Body without the Consent of the Management Committee. The appropriate forms will be forwarded to Club Secretaries in due course, it would be appreciated if Clubs support this concept, and return their Statistic Sheets to the General Secretary on the Hamper Night following each Race. 3. UNIT LOADING ROSTER – 2006 SEASON: Ø Clubs with 1 – 15 Hampers - Send 1 Driver & 2 Loaders Ø Clubs with 16 or more Hampers - Send 1 Driver & 3 Loaders When your Club arrives at Headquarters, one (1) Loader is to take the Paper Work to the Office Window for Payment and check & collect Pigeon Hole for Club Information. The Driver is to stay with the Vehicle. The other Loader/s are to keep an eye on the progress of the queue and where applicable, one (1) and or two (2) Loaders are to get up to the Loading at the following time: To help put Hampers away for – “The Vehicle/Unit in front of your Club, stay for your Club and the two (2) Vehicles/Units following. The more support Clubs give to the Loading Procedure, the quicker the Birds will be loaded – enabling the Birds and Loaders etc., to depart Headquarters a lot earlier. 4. TEAM REGISTER – JUNIOR FLYERS: Could all Junior Flyers please forward of copy of their Bird Team Register to: Mr. G. LIFE RING TRANSFERS - $1.00 per CARD: Please advise Members that all Transfers are to be forwarded to the Ring Secretary – By the First Race Night – Friday 2nd June 2006. 6. COLOURED LABELS FOR HAMPERS: Large Unit Labels Red Cocks Blue Hens Sires Produce Labels White Cocks Orange Hens Special Races Yellow Cocks Green Hens The above Coloured Labels are the ONLY ONES to be accepted on the Loading Dock! Coloured Labels will be available on Hampering Nights. 7. RACE RESULTS: All Club Results will be accessed from the Computer Generated Result. Clubs with no access to a Computer may lodge their Results with Mr. D. Thalbourne. 8. RELEASE DETAILS – INFORMATION LINE: For recorded Race & Release Information – Please ring 8262.3857. This Service will enable up to twelve (12) Callers at the same time. A Brief Message will be heard detailing Release and Weather Details – at the end of the Message, you will hear “This is the end of the Message – Please hang up now”. On hearing this message, please hang up immediately to allow other Members access. DO NOT HANG ON TO LEAVE A RETURN MESSAGE! No Message will be accepted or listened to! Similar Details will be on the S.A.H.P.A. Inc. Website – www.sahpa.asn.au. If there is a possibility of Bad Weather and changes may occur, then All Club Secretaries are to Monitor the situation on the info-line – 8262.3857. Race Release Details can also be accessed on Radio 5RPH Saturday Mornings at approximately 8.55 am. 9. HEADQUARTERS’ CLEANING CONTRACT: Mrs. M. Coleiro – 2006 Headquarters Cleaner. 10. TELEPHONE RENTAL: Mr. K. Pridham enquired about the ongoing cost of Phone Rental to Clubs. 11. RE-ENACTED MINUTE: To avoid any confusion between Members, the Management Committee have re-enacted the Minute which stipulates – Under NO Circumstances is any Member/s allowed to process (Handle) their own Birds on Race Hamper Nights. 9.
